Privacy Notice

Overview

In this Privacy Notice, we have provided information about when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure.

Who are we?

JLS Education Ltd provides educational services for example dyslexia assessment, advice and tuition. 

When we collect or process your personal data we are regulated by the General Data Protection Regulation (GDPR). We are responsible as ‘controller’ or ‘processor’ of that personal information for the purposes of those laws. We are registered with the information commissioner’s officer - registration number ZA799027. 

Types of data we collect

The information we collect about you is needed to provide the services you have requested. This will usually include:

  • Contact details e.g. home address, email address and telephone number.
  • If you contact us as a parent, information about your child.

 

Assessments

Information for an assessment is usually provided through family and school questionnaires although some information may be collected from conversations and emails. Information collected may include:

  • Sensitive personal data - for example, details of why an individual seeks an assessment, details of a disability or specific learning difficulty, details of support a student may have had in the past
  • Views from the student’s teachers regarding academic progress, support provided and information relevant to the assessment.
  • Relevant information from other professionals.
  • Results from the assessment tests and working documents.
  • Occasionally we may record the reading element of an assessment in order to verify and check the results.
Tuition
  • Sensitive personal data - for example, details of a disability or specific learning difficulty, details of support a student may have had in the past, assessment data.
  • Views from the student’s teachers regarding academic progress and support provided.
  • Informal assessment data and notes made during the course of tuition. 
Why we collect this information

This data is collected so that we can plan and provide the services requested by you. 

Who might we share this information with?

We do not routinely share your personal data with anyone unless there is a good reason to do so.  With your consent, we may share information with other organisations such as your child’s school.

 

There may be occasions when we share anonymised data with professional bodies for professional development purposes. In this case prior consent from you will be obtained.

On occasion we may need to share information with our service providers (ICT, Accounts, Insurance). If this happens, the minimum information will be shared to provide the services required. Our service providers are bound by contract to keep any information shared confidential.

 

As you would expect, we will share personal information with law enforcement or other authorities as required by applicable laws.

How long will your personal information be kept?

The length of time that we will keep your personal data will vary depending on the service requested and is outlined below:

Assessments

We keep copies of assessment reports for the time required by law and as advised by our professional bodies and insurance company. This may vary over time but currently the following applies:

  • Assessment reports for individuals over the age of 16 are held securely in electronic format for 6 years after the assessment report has been finalised.
  • Assessment reports for individuals under age 16 are held securely in electronic format until their 25th birthday. 

Data from the assessment (e.g. test papers and any audio recordings) are securely destroyed after a period of 30 days from the issue of the report. Any supplemental reports provided by you from other professionals will be securely destroyed once the report has been finalised.

On occasion, an overview of the raw test scores may be held alongside the report.

Tuition and Consultancy

For tuition services, we will hold you data for as long as we are working together. Once tuition finishes all tuition notes and informal assessment data will be securely destroyed within 30 days.

When advice is sought we will hold you data for as long as is required to meet your needs. Information will be securely destroyed 30 days after the enquiry is resolved.

Keeping your personal information secure

During the assessment process, information is held securely either in electronic or paper format. Once a report is finalised all information is stored on secure UK based servers via our ICT service provider.

Tuition and consultancy information is held securely either in electronic or paper format.

Access to your personal information

You are entitled to view, amend, or delete the personal information that we hold. Email your request to jo@jls-education.co.uk

 

Note: Requests to delete data relating to an individual will be considered on a case by case basis but we may be unable to remove all assessment records and support notes for legal reasons.

How to complain

If you have any concerns about our use of your personal data, you can make a complaint to us by emailing jo@jls-education.co.uk

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.

Consent

Our lawful bases for collecting or using personal information for assessment is your consent - we will obtain permission from you to use personal data to provide the service requested as outlined in this privacy notice.

 

All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.
